↩️ Withdrawal Request Management

When a user purchases a product or subscribes to a service, consumer laws may grant them the right to withdraw from the contract within a specific period, without needing to provide a reason. Lawwwing provides an integrated workflow so users can exercise this right easily and you can manage each request in an organized and documented way.

Regulatory framework

The right of withdrawal is recognized by major consumer protection regulations. In the European Union, Directive 2011/83/EU on consumer rights states that, for distance contracts (online sales), consumers generally have 14 calendar days to withdraw without penalty. Other countries have equivalent regulations with similar deadlines and conditions.

What is the right of withdrawal?

The right of withdrawal allows consumers to cancel an online purchase or service contract within the legal period, without giving any reason. It usually applies to distance or off-premises contracts.

As the business owner, you are generally required to:

  • Inform consumers about this right before the purchase.
  • Provide a clear and accessible channel to submit withdrawal requests.
  • Process refunds within the legal deadline after receiving the request.

How the request flow works in Lawwwing

The process is fully integrated: from user submission to internal handling and final confirmation.

1. The user accesses the form

The withdrawal form is available in your website's Trust Portal and can be reached through:

  • The trust portal's public URL.
  • Automatically inserted links in legal documents (terms and conditions, refund policy, and others). Lawwwing includes the form link so users can find it quickly.

The form collects key information to process the request:

  • Consumer full name
  • Contact email
  • Order number or contract reference
  • Purchase or contract date
  • Additional details (optional)

2. Notification to the website owner

As soon as the user submits the form, Lawwwing automatically sends an email to the website owner (or configured contact) to notify them of the new request. The email includes:

  • Requester details.
  • The affected order or contract.
  • Request date and time.
  • A direct link to the control panel for case management.
tip

You can configure the notification email address from your Lawwwing account settings in the control panel.

3. Management from the control panel

From the Lawwwing control panel, you can review all withdrawal requests, filter by status, and access request details.

Withdrawal Requests Management

To manage a withdrawal request:

  1. Go to Control Panel → Trust Portal → Withdrawal Requests.
  2. Open the request you want to process.
  3. Review requester details and the affected order or contract.
  4. Process the refund or service cancellation as applicable.
  5. Once completed, send confirmation to the user from the panel.

4. Confirmation to the end user

When you mark the request as resolved, Lawwwing can automatically send a confirmation email informing the consumer that their withdrawal has been accepted and processed. This ensures full traceability in case of later disputes.

Lawwwing automatically inserts a link to the withdrawal form in your relevant legal documents (especially terms and conditions or your refund policy). This helps you:

  • Meet the obligation to inform consumers about how to exercise this right.
  • Provide direct and frictionless access to the form.
  • Avoid manual legal text edits, since Lawwwing manages this automatically.

Legal obligations
  • Consumers generally have 14 calendar days from product delivery (or from contract conclusion for services) to exercise withdrawal, although the exact period may vary depending on local law.
  • After receiving a valid request, you typically have 14 days to issue a full refund, including standard delivery charges where required by law.
  • If the request is not handled on time, consumers may file complaints with the competent consumer protection authority in their jurisdiction.

There are legal exceptions to the right of withdrawal (for example, personalized items, downloaded digital content, or services already started with explicit consent). These exceptions should be clearly described in your terms.

Frequently asked questions

Can I reject a withdrawal request? Only when a legally recognized exception applies (for example, certain sealed hygiene goods after opening, or fully performed services with prior consent). In every case, you should inform the user of the reason.

Who pays return shipping costs? This depends on local law and your published terms. In many jurisdictions, return shipping can be borne by the consumer if this was clearly communicated before purchase.

Where are requests stored? All requests are stored in your Lawwwing control panel with date, reference, status, and associated history, which supports traceability for audits or disputes.

What is the difference between withdrawal and a complaint? Withdrawal is a legal right exercised within a specific period without justification. A complaint is a claim about defects, non-conformity, or service issues.
